Operations Coordinator

About the Role:
We’re seeking a detail-oriented and organized Operations Coordinator to join our team! Reporting to the Senior Operations Manager, you’ll play a critical role in managing various responsibilities related to permits and licensing for our customers’ alarm systems. This role is ideal for someone with a strong background in records management or administrative work who is ready to take on diverse responsibilities in a fast-paced environment.

Key Responsibilities:

  • Understand all code/license requirements and permitting processes.
  • Assist with licensing renewals across local jurisdictions.
  • Create, maintain, and organize templates for permits/licenses, manage false alarm reports, and respond to customer requests.
  • Oversee the alarm user registration process and renewals.
  • Update and maintain Standard Operating Procedures (SOPs) specific to duties.
  • Manage and update Licensing, Permit, and Code compliance databases as needed.
  • Navigate and edit accounts in Manitou and approve tasks and Service Tickets in Sedona.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Manage online jurisdiction portals and document payment records.
  • Balance multiple projects and meet timeline constraints.
  • Maintain high performance standards.
  • Perform additional duties as needed.

Qualifications:

  • High school diploma with five years of records management, administrative experience, or equivalent.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Strong attention to detail and organizational skills.
  • Ability to interact professionally with team members at all levels of the organization.

Work Requirements:

  • Regular use of a computer and scanner, along with physical file management.
  • Ability to work on multiple projects with tight timelines.
